Harborstone Marketplace: An eBay Account Review
Harborstone Marketplace sells on eBay. During a weekly account review, EHP looked past an empty unread-messages count and found a return and a hold notice that still needed action. The return was followed through until eBay showed it closed with a $204.99 refund issued. The same review raised a stock mismatch for confirmation, ran into a server error on the cases check, and matched an old policy removal to a decision the client had already made.

About Harborstone Marketplace
Harborstone Marketplace is an e-commerce seller on eBay. The store aims to give online shoppers value: products that meet their needs at competitive prices.
The business names customer satisfaction, reliable service and competitive pricing as the ways it builds trust with buyers. EHP's role in this case study was account management: a weekly review of the account's orders, customer messages, returns, listing quantities and policy notices, with follow-up handed to the right team.
The goals
- 1. Catch notices that still need action. Find customer notices that require follow-up, even when the account shows no unread messages.
- 2. See the return through. Assign the return follow-up to Customer Service and confirm that it actually closed.
- 3. Keep quantities accurate. Compare listing quantities with the stock notes.
- 4. Respect earlier decisions. Check prior policy decisions before treating an old removal notice as a new appeal opportunity.
The challenges
1. Open items behind an empty inbox
The account had no unread customer messages, but that did not mean nothing needed attention. An approved return and a funds-hold notice were still waiting for follow-up, and an inbox check alone would have missed them.
2. A stock note that did not match the listing
The review notes described one product variant as out of stock, while its listing showed 2 available. Changing either record without confirmation could have made the listing wrong in a different way. In the same review, the cases check failed with a server error, so its result could not be read.
3. An old policy removal
The review flagged a listing that eBay had removed under one of its policies. That removal was already covered by an earlier task, and the client had told the team to accept the outcome and close it.
What we did
1. Followed the return through to the refund
The review called out the return and hold notices instead of relying on the unread-messages count. The client supplied proof that the buyer had shipped the item back, and a follow-up task went to Customer Service.

Before: eBay showed the item on its way back to the seller, with the refund still to be issued.
Customer Service later documented the matched return as closed, with the $204.99 refund completed. eBay's closing screen shows how the amount was settled.

Fee credits of $28.28 left $176.71, which was deducted from available funds, with $0.00 outstanding.
2. Asked for confirmation instead of guessing
The team compared the written no-stock note with the listing, which showed a quantity of 2, and asked for clarification rather than changing either record. It also asked for a fresh cases check after the server error.

The quantity column showed 2 for the matched listing, against a written no-stock note. This is the mismatch as found, before any confirmation.

The server error returned during the cases check, so the cases result could not be verified.
3. Closed the policy item on the client's decision
The flagged listing was matched to its original policy task. The client instructed closure and the team acknowledged it, so the old removal was handled as a settled matter and not as a fresh appeal.
Results
- Customer care: before, an approved return and a hold notice needed follow-up. After, the matched return was closed and the $204.99 refund was issued, with $0.00 outstanding on eBay's closing screen. This is the completed outcome of the review.
- Stock review: the conflicting stock note and available quantity were identified and raised for confirmation. The screenshot shows the mismatch as found.
- Cases check: a server error blocked the result, and a fresh check was requested.
- Policy handling: the old removal was tied back to the client's earlier decision to accept it, and the item was closed on the client's instruction.
